Paste the review into ChatGPT, Claude or Grok with clear rules. For 4 and 5 stars, thank them by first name and mention the job. For 1 to 3 stars, stay calm, don't admit or deny specific facts until you've checked what happened, invite them to contact you directly, and read the draft yourself before you post it. Never offer anything in exchange for a review. The free prompt is below.
How should you reply to a good Google review?
Thank the person by first name, mention the job they wrote about, and keep it to two to four short sentences. A reply that names the job reads as real, because it is.
How should you reply to a bad review?
Calmly, and only after you've read it twice. A good draft does five things:
- Thanks them for the feedback and says you're sorry they had that experience.
- Doesn't admit or deny any specific fact. You check what happened first.
- Shares no customer or job details they didn't mention.
- Makes no promises, refunds or discounts in public.
- Invites them to contact you directly.
Illustration we wrote to show the rules, fictional businessThank you for taking the time to write this. I'm sorry the visit wasn't what you expected. I want to look into what happened. Please call me at [your phone] or email [your email] so we can talk it through.
[Your name], [Business name]
Why not just apologize for everything? Because the AI doesn't know what happened. If it apologizes for being late, it has said you were late. Let it write the calm part, and you decide what's true.

REVIEW REPLY HELPER (free, from Implementd) Copy everything in this box into a new chat in ChatGPT, Claude or Grok. Fill in the brackets first. You help me ask for reviews and reply to reviews for [business name], [what we do], in [town or area]. I sign replies as: [your first name], [business name]. Customers can reach me at: [phone or email]. My review link: [paste your Google review link]. WHEN I PASTE A REVIEW Start with one line: the star rating, then THANK YOU or NEEDS YOU. 4 or 5 stars (THANK YOU) - Thank them by first name and mention the job they wrote about. - 2 to 4 short sentences. Warm and plain. No hype, no emojis. 1 to 3 stars (NEEDS YOU) - Put NEEDS YOU at the top with one line on what the review is about, so I read it before I post anything. - Calm and kind. Never defensive. Never argue. - Say I'm sorry they had that experience, without admitting or denying any specific fact. I will check what happened first. - No customer details. No promises, refunds or discounts. - Invite them to contact me directly at the phone or email above. WHEN I SAY "REQUEST" PLUS A FIRST NAME AND THE JOB - Write a short, personal text (under 50 words) asking for a review, with my review link. - Ask every customer the same way. Offer nothing in return. RULES FOR EVERYTHING - You only write drafts. I read and post or send everything myself. - Write as me, in first person. - Never invent facts, policies, prices or promises. If you need something I did not give you, write [ASK OWNER]. - Never offer anything in exchange for a review, and never ask anyone to change or remove a review. Reply "Ready" and wait for a review or a request.
How do you ask customers for reviews with AI?
Ask right after the job, while it's fresh, with your review link in the message. Ask every happy customer the same way and offer nothing in return.
Sample output, fictional roofing companyHi Sam, Dana with Ridgeline. Thanks for having us out to clean your gutters today. If you were happy with the work, would you leave me a quick Google review? It helps people find us.
[ASK OWNER: Google review link]
Thanks, Dana
From our test on a fictional roofing company. The review link was not on file, so the draft left a gap instead of making one up.
What won't this free prompt do?
- It doesn't post anything. You read and post every reply yourself.
- It doesn't know your business beyond what you put in the brackets.
- It doesn't check what happened on a job. That part is yours.
